The Short Version
- Your tax profile, chats and document numbers are saved on your phone, not on our servers.
- On our servers we keep your email, a hashed password, your sign-in tokens, and a count of your daily AI requests.
- When you use an AI feature, your question and the tax details needed to answer it go to our AI provider. We do not send your name or email.
- If you scan a pay stub or W-2, the photo goes to our AI provider to read the numbers. TaxCoach does not save the photo, and never keeps your Social Security number, address or employer ID from it.
- Apple takes the payment and we never see your card. Our subscription checker is told your account id and whether you have paid, nothing about your taxes.
- If you join the waiting list on our website, we keep your email address to send you one message when the app is live.
- We never sell your information or share it for advertising, and you can delete your account anytime in Settings.
Who We Are
TaxCoach is made by T.E.A.M COACH, LLC, an Illinois limited liability company. We are responsible for the information described in this policy. You can reach us at privacy@taxcoach.app.
This policy explains what TaxCoach collects, where it goes, and what you can do about it. TaxCoach gives tax guidance and estimates. It does not file taxes for you.
Information We Collect
We collect information you give us in the app, including:
- Your email address, for signing in
- Your tax profile: first name, last initial, state, age, filing status, income type, estimated income, interest and dividend income, housing and health insurance
- Whether someone else can claim you as a dependent, whether you are blind, and your spouse's age if you file jointly
- Your dependents' ages and relationships
- Tax situations you record, such as student loans or charitable donations
- Chat conversations with the AI assistant, saved on your device and passed through our server to create replies
- Pay stub and W-2 numbers you type in or correct yourself, saved on your device
- Pay stub and W-2 photos, only if you choose to scan one. The photo goes through our server to our AI provider, which reads the dollar amounts and dates. TaxCoach does not save the photo.
Whether you are blind is information about your health. We ask it only because it raises your standard deduction. It is kept on your device with the rest of your tax profile, and when you use the AI chat, Life Update or a custom Plan Ahead scenario it is sent to our AI provider along with your other tax details, so the answer you get accounts for it.
TaxCoach never asks for your Social Security number, your home address or an employer ID number, and never keeps them from a photo. A pay stub or W-2 does show them, so when you scan one, the photo that carries them reaches our AI provider along with everything else on the form.
If You Join the Waiting List
Our website, taxcoach.app, has a form for people who want to know when the app is released. It is separate from the app and from any TaxCoach account. If you fill it in we keep:
- The email address you typed
- The date and time you signed up
- The two letter country code our website host reports for your connection, which we use to spot a sudden burst of fake signups
- Which link brought you, if the one you clicked carried a label, so we know where people heard about us. Never the rest of the web address you arrived with
We use it for one thing: to tell you the app is available. We will not send you anything else, we do not add you to any other list, and we never pass it to anyone for advertising. Every message we send has a link to unsubscribe.
The waiting list is not an account. Joining it does not create one, and deleting a TaxCoach account later does not take your address off the list, because the two are not connected. To be removed, use the unsubscribe link in any message we send, or write to privacy@taxcoach.app and we will delete it.
We delete the whole list once the launch messages have gone out and anyone who wanted to can get the app, and in any case within twelve months of the day you signed up.
Where Your Information Is Kept
Your tax profile, chats and saved document numbers stay on your device. We do not copy them to our servers.
On our servers we keep:
- Your email address and a scrambled version of your password, called a hash, which cannot be turned back into your password
- Sign-in tokens that keep you signed in
- A count of how many AI requests you make each day, so one account cannot run up unlimited cost
- Basic sign-in and request records, such as when you signed in and the internet address it came from
TaxCoach has no advertising, analytics or tracking software in it. Our servers keep short technical logs of errors, which record what went wrong rather than your tax details.
When You Use AI Features
Asking a question, scanning a document or checking for life changes sends information to our AI provider, OpenAI, through our server. For a question, that is your message plus the tax details needed to answer it, such as filing status, income, ages, whether you are blind, your tax situations, and your pay stub figures when they are in use. For a scan, it is the photo. TaxCoach asks your permission before anything is sent for the first time, and you can turn this off at any time in the app under Settings, then Privacy. With it off, nothing is sent and the rest of the app keeps working.
We do not send your name or email to the AI. Anything you type into a chat is sent as you wrote it, so please leave out details you would rather not share.
OpenAI states that it may keep information sent to it for up to 30 days to check for abuse, or longer if the law requires, and that it does not use it to train its models. For a scan, only the amounts our server pulls out of the reply reach the app, and they are saved on your device. For a question, the reply is saved with your chat on your device.
How Long It Is Kept, and Deleting It
Information on your device stays until you remove it. Signing out leaves it on the device so it is there when you sign back in, and each account is kept separately, so someone else signing in on the same phone does not see yours.
- Reset Profile clears your tax profile from this device
- Delete Account removes your account and its daily AI request counts from our servers, and clears this account from this device
- Our AI provider may still hold what was sent to it for its own retention period, described above, before deleting it
- The waiting list is separate from your account, so Delete Account does not touch it. Use the unsubscribe link in any message, or write to privacy@taxcoach.app
Copies of a checklist or estimate you saved or shared elsewhere are not affected.
Companies That Handle Your Information
- Supabase runs our servers and our sign-in. It holds your email, your hashed password, your sign-in tokens, your daily AI request count and the waiting list, and everything sent to the AI passes through it on the way
- OpenAI provides the AI features and receives what is described above when you use them
- Cloudflare serves our website, taxcoach.app. If you use the waiting list form, your signup reaches us through Cloudflare, which also runs the check that tells a person from a bot. It also counts visits to the website for us with Cloudflare Web Analytics, which tells us things like how many people visited and which pages they viewed. It does not use cookies and does not follow you to other websites. It is not involved in the app itself
- RevenueCat checks with Apple whether your subscription is active, and tells the app yes or no. It receives your purchase history from Apple and the account id you are signed in with, used as a label so we can find you if you write to us. It never receives your tax profile, your questions or your documents
We do not sell your information, and we do not share it for advertising.
How We Protect It
- Passwords are stored as hashes, never as plain text, and we cannot see them
- AI service keys stay on our server, never in the app
- You can lock the app with Face ID or Touch ID, and it can lock itself after 5 minutes
- Your tax profile is on your device and is sent out only when you use an AI feature
Your Choices
Everyone who uses TaxCoach can:
- See the information in the app at any time
- Correct it, since you enter and edit it yourself
- Clear your tax profile in Settings, under Reset Profile
- Delete your account in Settings, under Delete Account
- Turn notifications off
- Leave the waiting list, using the unsubscribe link in any message we send or by writing to privacy@taxcoach.app
California Privacy Rights
California law gives residents rights to know what is collected, to delete it, to correct it, to opt out of the sale or sharing of personal information, and to limit the use of sensitive information. We give everyone these rights, whether or not the law applies to a company our size.
We do not sell personal information, do not share it for cross-context behavioral advertising, and do not act as a data broker, and we will not treat you differently for using these rights. The simplest way to limit what you share is to type your numbers in instead of scanning a document. To use these rights, open Settings and choose Delete Account, or write to privacy@taxcoach.app.
Europe and the United Kingdom
T.E.A.M COACH, LLC decides how the information in this policy is used, which makes it the data controller. Our reasons for using it are: to give you the app and features you ask for, which covers your account, your estimates and the AI answers you request; your consent, for optional things like scanning a document; and our own legitimate interest in keeping the service working and preventing abuse, which covers the daily request count and error logs.
We keep account information until you delete your account. Everything else stays on your device under your control. Our service providers are listed above, and your information is transferred to and processed in the United States.
You can ask for a copy of your account information in a form you can take elsewhere, ask us to correct, delete, limit or stop using it, or withdraw consent at any time by writing to privacy@taxcoach.app. You can also complain to the data protection authority where you live.
Children's Privacy
TaxCoach is not for children under 18, and we do not knowingly collect their information. You confirm you are 18 or older when you accept the disclaimer during setup.
Changes to This Policy
We may update this policy. We will change the date at the top when we do, and we will tell you in the app about anything important.
